How Game Vault Distributors Onboard New Agents

Published October 24, 2026 · Game Vault blog

Adding agents is how a Game Vault distributor grows, but a new agent who feels lost in week one rarely lasts. This six-step plan helps you set up each new agent properly, from their first login to a steady reload rhythm.

Why onboarding matters more than recruiting

Finding someone who wants to run Game Vault is the easy part. Keeping that person active a month later is harder. Most new agents who drift away do so in their first week, usually because they were handed a login and left to work everything out alone. A short, repeatable onboarding routine fixes that, and it costs you very little time once you have written it down.

Step 1: Agree on the basics before you create anything

Before you open your distributor panel, have one clear conversation with the new agent in chat. Cover how they will reach you, the hours you are usually available, and how reloads work. Every Game Vault load through our network is prepaid, so make sure the agent understands that points are bought before they are passed on, never on credit.

  • Confirm the agent's preferred chat app and save the conversation.
  • Explain that loads are prepaid and how they ask you for one.
  • Agree on a username pattern for their login so you can find it quickly later.

Step 2: Create the agent login and test it together

Create the agent account from your own panel, then send the details in the same chat. Ask the agent to sign in while you are still there. Watching them log in for the first time catches typos, browser problems and confusion right away, instead of hours later when they are trying to serve a player.

If the agent is new to how logins sit under each other, point them to our Game Vault agent account guide. It explains what an agent can see and do, and what stays at your level.

Step 3: Walk through the first player together

The fastest way to teach the panel is to do one real task side by side. Have the agent create a test player, send themselves the Game Vault app download steps, install the app on their own phone and sign in as that player. Then move a small number of points in and out. After one round, most agents understand the flow better than any written manual could teach them.

  1. Create a test player from the agent panel.
  2. Install the app on the agent's own phone and sign in.
  3. Recharge and redeem a small amount to see both directions.
  4. Reset the password once, so they know how before a player asks.

Step 4: Hand over a simple message kit

New agents spend a lot of time typing the same replies. Give them a short set of ready messages they can copy into their chats: a welcome message with the download link, a note on how to send login details, and a polite reply for players asking about a recharge. Write these in your own words and keep them short. Agents who have a message kit answer faster and look more professional to their players.

Step 5: Set a reload rhythm early

The most common reason a new agent stops serving players is simply running out of points at a bad moment. In the first week, check in with them about their balance and help them judge how much they use in a typical day. Once they can see their own pattern, they can ask you for a load before they hit zero. Our Game Vault points page explains how points move down from distributor to agent to player.

Keep your own balance ahead of your agents. Every new agent adds to how many points your network uses. When you add agents, plan a larger prepaid load for yourself so you can cover their reloads without gaps. Message us for price, since rates depend on the size of the load.

Step 6: A one-week check-in

After seven days, look at the agent's activity in your panel and send a short message. Ask what slowed them down and what questions players keep asking. The answers often show you where your message kit or your instructions need one more line. Agents who get a check-in tend to feel supported rather than left alone, and they stay active longer.

Common first-week problems

The agent cannot log in. Check the username for spaces or capital letters and reset the password from your panel if needed.

A player says points did not arrive. Ask the agent to open that player's transaction history before doing anything else. It usually shows exactly what happened.

The agent is unsure what to charge players. That is between you and your agent. Agree on it during your first conversation so there is no confusion later.
